JOB TITLE: Senior Administrative Associate
REPORTS TO: Principal
COMPENSATION PLAN: Clerical / Paraprofessional (Non-exempt)
PRIMARY PURPOSE:
Facilitate the efficient operation of the school administrative office and provide clerical services for the administrative staff.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or GED
Special Skills/Knowledge:
Proficient skills in typing, word processing, file maintenance, and financial records
Effective organizational, communication, telephone, and interpersonal skills
Ability to operate a computer and other office/school equipment
Advanced Bookkeeping Management Skills
Minimum Experience:
One to three years of secretarial experience preferably in a public education environment
MAJOR RESPONSIBILITIES AND DUTIES:
1. Assist students, teachers, parents, and visitors as needed.
2. Type all written correspondence and property route.
3. Promotes positive public relations with all colleagues, parents, students, and community members.
4. Maintain proper files to include inventory of school supplies, mailing lists, student records, visitor logs, and office communications.
5. Receive, store, and issue supplies and equipment.
6. Sort, distribute, or deliver mail and other documents.
7. Prepare necessary campus communications as requested, using computer.
8. Responsible for a daily teacher attendance log and the records for substitute teachers.
9. Schedule meetings, appointments, and maintain calendar for principal.
10. Responsible for monitoring and maintaining records to include time card, sick leave, vacation, special requests, accident reports, and workman's comp. reports.
11. Serve as the campus Francial bookkeeper.
12. Follow best practice regarding financial management and facilitation.
13 Update handbook, policy manuals, etc.
14 Keep informed of and comply with state, district, and school policies and regulations concerning primary job functions.
15. Responsible for and maintains campus financial records and reports. Assists with preparation of school budget.
16 Supervises office staff.
17Organize and manage routine work activities of the principal’s office.
18. Provide secretarial services to the principal as needed (maintain calendar, answer phones for principals office; schedule appointments; serve as recording secretary on committees and in meetings as needed).
19 Maintain timecards and absentee records for paraprofessional staff.
20. Maintain confidentiality of information.
21. Serve as substitute teacher coordinator.
22. Complies attendance reports daily, keeps accurate records, and prepares reports.
23. Processes the registration and scheduling of new students.
24. Processes student withdrawals.
25. Compiles, reports, and maintain all PEIMS materials.
26 Receives incoming calls, takes reliable messages, and routes to appropriate staff.
27. Performs other duties as assigned by principal.

Mental Demands:
Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress.
Physical Demands/Environmental Factors:
Repetitive hand motions; prolonged use of computer. Works with frequent interruptions. Occasional in district travel. Frequent, prolonged and irregular hours.
